Talent International are currently recruiting for an experienced Executive Assistant to support a CFO and Deputy Secretary for a state government organisation in North Sydney. This position will be an initial 6 month contract with the view to be extened and is paying between $50-55 per hour plus superannuation.

Primary purpose of the role:
  • Manage and deliver all necessary administrative procedures and processes to support the Chief Financial Officer (CFO) and Deputy Secretary, Finance, at a superior level.  Act as the first point of contact and manage all staff and stakeholder contact with discretion and tact. 
  • The position holder works directly to the CFO / Deputy Secretary to manage fully integrated end-to-end administrative support including managing the CFO/Deputy Secretary's diary, meetings, travel itineraries, incoming and outgoing correspondence and being the first point of contact for the CFO/Deputy Secretary's office.
Key Responsibilities: 
  • Responsible for coordinating Senior Executive administrative support to meet critical timelines.
  • Required to prioritise, filter and manage telephone or email enquiries or requests from internal and external callers, including the Minister's office, senior executives, media, administrative support or other staff and take appropriate steps to respond to issues.
  • Supervise, train and support other staff in the team to deliver a comprehensive range of administrative support functions, including complex diary and meeting management, secretariat support to committees, routine databases, photocopying, document production, compilation and distribution and maintenance of office equipment
  • Draft and prepare accurate, factual and contextual correspondence, presentations, reports and submissions
  • Develop, implement and maintain administrative systems or other business system initiatives to support the business
  • Review and manage correspondence for signature by the Secretary / Deputy Secretary, correcting for quality, and/ or seeking additional information or clarification from the author if necessary 
  • Produce and compile analysis of business activity at an Executive level, including staffing, sick leave and budget, project output.
Essential Requirements:
  • Previous experience in a similar role
  • Experience supporting C-suite executives
  • Experience working in a high pressured, large volume work environment.
  • Proven experience balancing competing demands to ensure tasks and activities are achieved.
  • Excellent attention to detail
  • Experience dealing with highly confidential business and financial information and multiple external and internal stakeholders, including Ministers and other senior executives.
