Job Description

Our client is a large energy provider seeking an experienced Project Administrator to join the team.
  • 6 month contract + possible extension
  • Based in Newstead
Role and responsibilities:
  •  Assist with meeting room booking and diary co-ordination
  •  Assist with any documentation/printing in preparation of meetings as required
  •  Assist with ICT requests
  •  Adhoc tasks as required
General Administration
  • Coordination of any building requests, relocations and specific office administration including stationery​
  • Coordination of travel request application, approval and booking (flights, car, accommodation)
  • Coordination of any Program events
  • Maintain program registers including cab charge, invoicing, travel
  • Administer, manage and maintain the SharePoint site and Network drive including content and  access as well as list and register creation
  • Manage general project purchases including catering
ICT Requests/Equipment/Software
  • Coordination of ICT requests on behalf of program resources
  • Maintain ICT assets registers and allocation of assets, working the ICT Service Desk on relocations/set up of assets
  • Coordinate software requests for program resources

Resource Management
  • Coordination of onboarding activities for new starters including building security cards and associated forms
  • Maintain floor plans and program organisational charts
  • Work with the Program Coordinator to maintain the renewal and cessation of resource contracts and accounts
  • Coordination of weekly Contractor timesheets and Labour Costing Weekly
  • Maintain annual leave register
  • Provide support for requesting Digital Office resource requests and maintain register of contractor renewals
  • Assist Program Coordinator with preparation of Steering Committee packs where required
  • Secretariat function at meetings where required - minutes/actions/agendas
  • Goods Receipting for all Contract invoices
  • Working closely with the Program Financial Controller to reconcile invoices with timesheets on a weekly basis
